Managing Spam in Groupwise
- Create a Junk Mail Folder - If you do not already have a GroupWise folder called JUNK MAIL, this is what you should do to create one:
- In the window to the left where your folders appear, right-click on your name next to the GroupWise globe.
- Select the New Folder option that appears.
- The Create Personal Folder window appears. The Personal Folder radio button will be selected, click Next.
- You will be prompted to name your folder in the next window that appears. In the name dialog box type Junk Mail. Click Next.
- Accept all of the default settings that appear in the next window by selecting Finish.
- Re-route SPAM E-mail - SPAM can now be routed to your Junk Mail folder. You should check the Junk Mail folder periodically to make sure legitimate messages were not accidently marked as SPAM and routed to Junk Mail.
- Go to the top menu bar in GroupWise and select Tools and then Rules.
- The Rules window appears. Select New.
- You will be prompted to name your rule in the next window that appears. In the rule name dialog box type Junk Mail.
- The next line reads "When event is ... " Make sure Received is selected.
- The next line reads "If conditions are ... " Select Mail from the Item types list and then click the Define Conditions button. The next window that appears includes a drop-down menu to the left. Select Subject from the list of options. You are now able to type in the middle dialog box. This is where you will define what goes into your Junk Mail folder. If you are receiving SPAM messages with the word "SEX" in the subject line, type SEX* in this dialog box. If you are receiving SPAM messages with the word "viagra" in the subject line, type viagra* in this dialog box, etc. The "*" tells GroupWise that the subject line probably contains other words, but the word preceding the "*" is the trigger. To add multiple trigger words, change the word END on the button next to the middle dialog box to OR. You can add as many of these trigger words as you would like. You should also create a trigger for the messages that University Technology Services (UTS) flags as SPAM. In the middle dialog box type {SpamScore:ss* . That will route the predefined SPAM from your mailbox into your Junk Mail folder. Your last trigger word line should have the word END displayed on the final button.
- The next line reads "Then actions are ... " From the drop-down menu select Move to Folder and select the Junk Mail folder from the list that appears. Click Move to close the window.
- Click the Save button and you will be sent back to the Rules window.
- Make sure the Junk Mail rule is marked with a check mark and select Close.
